This is what happens to information about you when you write to us or use this site. It is set out scene by scene, in the order the information actually moves.

Scene 01 The controller

Who is asking, and who answers for it

EDUMOVIES LTD is the controller of the personal information described here. That means we decide what is collected and why, and we are the people you hold to account for it.

Write to that address about anything in this document. It reaches a person, not a queue, and it is the same address every other page on this site gives.

Scene 02 The inbox

What actually reaches us

There are three ways information about you arrives, and no others.

  • You write to us. Your name, your email address, and whatever you put in the message: what your product does, who the video is for, what material you have. The enquiry form on this site does not transmit anything itself - it writes your enquiry out and hands it to your own email application, so what we receive is an email you sent.
  • We work together on a project. Names and addresses of the people we deal with, the material you send us, the approvals you give, and the billing details needed to invoice you.
  • The server logs the request. Our hosting provider records the usual technical details of a visit - IP address, time, the page asked for, the browser string. That happens for every website and we cannot switch it off.

We do not buy lists, we do not take information about you from third parties, and there is no tracking on this site of any kind.

Scene 03 The purpose

What we do with it

  • Answer your enquiry and write a quotation for the work.
  • Carry out a project you have ordered, and keep a record of what was approved.
  • Invoice you and keep the accounting records the law requires us to keep.
  • Deal with a question, a complaint or a claim about work we have done.
  • Keep the site and our email working, and keep them secure.

We do not use your information to market to you. Nobody is added to a list for writing to us once.

Scene 04 The grounds

What allows us to hold it

The law here is the UK General Data Protection Regulation (UK GDPR), which sits alongside the Data Protection Act 2018. The articles referred to below and further down this page are its articles, and every ground we rely on is one of the six in its Article 6.

  • Article 6(1)(b), the contract. Answering an enquiry, quoting, and doing the work you ordered are steps taken at your request before a contract and under it.
  • Article 6(1)(f), legitimate interests. Keeping a record of what was agreed, keeping our systems secure, and being able to defend ourselves if a claim is made. Our interest is in being able to show what was agreed and to run the business safely; we have weighed that against your interests and it does not override them, because the information involved is the ordinary content of a business conversation.
  • Article 6(1)(c), a legal obligation. Keeping invoices and accounting records for the periods UK tax law sets.

Scene 05 The crew list

Who else sees it

A small number of service providers process information on our behalf, each under a contract that limits them to what we ask for.

  • Hosting. The provider serving this site, which holds the server logs.
  • Email. The provider running the mailbox that receives your enquiry and our reply.
  • The payment provider. Where a payment is made through a payment link, Stripe handles it. It receives what it needs to take the payment; we receive confirmation that the payment happened. Card numbers never reach us at any point. If we ever add a second provider, it is named here in the same breath.
  • Accounting. Where a bookkeeper or accountant is engaged to prepare our returns, they see invoices, which carry your name and billing details.
  • Voice artists and suppliers. Where your project includes recorded narration, the approved script goes to the artist recording it. They do not receive anything else about you.

We do not sell information about you, and we do not share it with anyone for their own purposes. Where the law requires disclosure - a court order, a tax enquiry - we comply and tell you unless we are forbidden to.

Scene 06 The location

Where it is kept

We keep our records inside the United Kingdom and the European Economic Area, and we ask the same of the providers we use.

  • Within the United Kingdom. No transfer question arises.
  • To the European Economic Area. The UK has made adequacy regulations covering the EEA, so a transfer there needs no separate safeguard: the finding of adequacy is the basis for it.
  • Anywhere else. Where a provider processes information outside both, we rely on the UK International Data Transfer Agreement, or on the UK Addendum to the European Commission's standard contractual clauses, together with an assessment of the risks of that particular transfer.

Article 13(1)(f) of the UK GDPR gives you the right to see those safeguards. Write to contact@edumovies.net, name the provider or the transfer you are asking about, and we will send you a copy of the agreement relied on for it. We will also tell you which provider holds what, rather than sending you to a list of logos.

Scene 07 The shelf

How long it stays

  • An enquiry that does not become a project. Kept while we are in conversation about it, and then until the end of the calendar year after the year in which the conversation stopped, so that a project picked up again later still has its own beginning. Then deleted. Ask us to delete it sooner and we will.
  • A project. The files, the approvals and the correspondence are kept while the work runs and afterwards for as long as a claim about it could still be made under the law of England and Wales.
  • Invoices and accounting records. Kept for the period UK tax law requires, which is longer than we would otherwise keep them and is not ours to shorten.
  • Server logs. Kept for the period our hosting provider keeps them, which is short and is set by them.

Scene 08 Your call

What you can ask us for

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have it corrected if it is wrong or incomplete;
  • have it deleted, where we have no reason in law to keep it;
  • have our use of it restricted while a disagreement about it is sorted out;
  • object to our using it where we rely on legitimate interests, including at any time to direct marketing - though we do not send any;
  • receive what you gave us in a portable, machine-readable form, or have it sent to somebody else, where that right applies;
  • withdraw consent, where we ever relied on consent, without that affecting what was done before.

Write to contact@edumovies.net and say what you want. We do not charge for this, we answer within the time the law allows, and we may ask you something to confirm you are who you say you are - which is a protection for you, not an obstacle.

Scene 09 The complaint

If we get it wrong

Tell us first. We would rather be given the chance to put something right than have it taken elsewhere before we have heard about it, and a complaint about data is answered the same way as any other: acknowledged in writing within five working days, answered in full within twenty.

If that does not resolve it, you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection:

Complaining to us first is not a condition of complaining to them.

Scene 10 The requirement

What you have to tell us, and what happens if you do not

Nothing you tell us at the enquiry stage is required by law. It is required by the work: without a name and an email address we cannot reply, and without knowing what the product does and who the video is for we cannot quote for it. If you would rather not say something, say so - we will tell you whether we can still be useful without it.

Once an order exists that changes. Billing details become necessary to invoice you, and without them we cannot complete an order; and once we have invoiced you, keeping that record is an obligation under UK tax law rather than a choice of ours. That is the obligation scene 04 relies on, and it is the only thing on this page the law makes us do.

Scene 11 No machine

Nothing about you is decided automatically

There is no automated decision-making and no profiling here. Nothing about your enquiry is scored, ranked or filtered by software, and no decision that affects you is taken without a person taking it.

Scene 12 Your device

What this site leaves on your device

Nothing. This site sets no cookies, stores nothing in your browser's local or session storage, and carries no analytics, no advertising tags and no third-party scripts. Fonts are served from this site rather than from anyone else's, so loading a page does not tell a font provider that you were here.

Because the site stores nothing, there is nothing to consent to and nothing to withdraw, and no separate cookie policy is needed. If that ever changes, this scene changes with it and consent is asked for before anything is stored.

Scene 13 The revision

When this document changes

The date of the last review is on the title card at the top of this page. When this document changes we publish the new version here and change that date. If a change affects a project that is already running, we tell the people working on it by email rather than leaving them to notice.
